# Getting Started with Otonomos.ai

A guide for intermediaries — law firms, corporate service providers, and accountancies — managing client entities through the Otonomos.ai Intermediary Portal._

What is Otonomos.ai?

Otonomos.ai is the intermediary-facing side of the Otonomos platform. Where individual founders use Otonomos to order and maintain a single company, Otonomos.ai gives intermediaries a single dashboard to onboard, view, and manage many client entities at once — including entities that already exist elsewhere and are being brought onto Otonomos ("Transfer In").

With Otonomos.ai you can:

  • See all your clients' entities in one place
  • Onboard entities in bulk instead of one at a time
  • Choose, per entity, whether you just want visibility (View Entities) or full management including registered agent changes (Transfer In)
  • Run KYC and compliance checks alongside the entities you bring onto the platform
  • Hand off day-to-day entity maintenance and corporate actions to Otonomos once an entity is transferred in

1. Logging in

Otonomos uses passwordless login — you won't need to remember or manage another password.

  1. Go to your Otonomos.ai portal link (sent to you when your intermediary account was set up).
  2. Enter your work email address.
  3. Check your inbox for a login link and click it to confirm.
  4. You'll land on your Intermediary Dashboard.

If you're adding colleagues to your firm's account, an admin can invite additional users from the dashboard so your whole team can access and manage the same client entities.


2. Your dashboard, at a glance

Your dashboard is organized around your client entities, not just your own firm's details. From here you can:

  • Search and filter entities by client, jurisdiction, or status
  • Open any entity to see its structure, participants, and outstanding items
  • Track renewals and filings across jurisdictions, since deadlines differ by country
  • Start a new bulk onboarding to bring in a batch of client entities at once

3. Onboarding entities in bulk

This is the core workflow for intermediaries with many clients. Instead of entering each entity by hand, you can upload existing documentation and let the platform do the heavy lifting.

Step 1 — Upload documents
Upload the incorporation documents, registers, or other entity records you have on file for your clients. You can upload multiple entities' documents in one batch.

Step 2 — Automatic extraction
The platform reads the uploaded documents and extracts key entity data (entity name, jurisdiction, participants, share structure, etc.) automatically.

Step 3 — Review and correct
Before anything is confirmed, you'll see an overview of every entity that was extracted. Open any entity to review the details in an editable panel and correct anything the extraction got wrong. Every entity needs to be marked reviewed before you can continue — nothing is confirmed on your behalf without a check.

Step 4 — Choose the next step, per entity
For each entity, decide how you want to work with it going forward:

  • View Entities — the entity appears on your dashboard for visibility and reporting, but Otonomos doesn't take over its management.
  • Transfer In — Otonomos becomes the new registered agent for the entity. This unlocks full entity maintenance and corporate actions (renewals, filings, changes of director, etc.) from your dashboard.

This choice is made entity-by-entity, not for the whole batch — you might view some client entities and transfer in others.

Step 5 — KYC and payment (Transfer In only)
For entities you're transferring in, you'll complete a KYC verification and payment step. These can run at the same time, so KYC checks don't hold up payment or vice versa.

Step 6 — Confirmation
Once KYC clears and payment is complete, the entity is confirmed and fully active on your dashboard with entity maintenance and corporate actions available.

5. Getting help

Because KYC and compliance requirements vary by jurisdiction, it's worth flagging any unusual entity structures (funds, foundations, DAOs, tokenized structures) early so the right due diligence path can be applied.
